A "bad-news" message in business writing is a letter, memo, or email that provides negative or unpleasant information that is likely to disappoint, disturb, or even offend a reader. It's often referred to as an indirect message or a bad message. The sender communicates this message indirectly by means of clues such as hints and metaphors used in the text.
The main purpose of the negative message is to make the recipient think about what was said rather than simply accepting it at face value. Thus, it creates a reaction in the reader/listener. This reaction can be one of two things: acceptance or rejection. If the recipient accepts the message, then there is no need for further action. If however, they reject the message, they should take appropriate action.
Other types of messages include warnings, announcements, and instructions. All warning messages inform someone that they are being warned away from something. They usually use strong language and express anger toward the person being warned. Announcements tell people that something important has happened; for example, "John won a car." Instructions give people directions on how to perform some task; for example, "Fetch me the newspaper from front porch."
Negative messages can be divided into five categories based on their content: facts, opinions, judgments, recommendations, and statements. Facts are pieces of information that cannot be proved true or false.
Delivering a Bad News Message
There are five primary aims to bear in mind while writing a negative message.
Favorable communications are those in which the listener is supposed to respond in a neutral or positive way. Positive messages are typically comprised of routines or positive news. These communications might include anything like congrats, confirmations, directions, basic credit inquiries, or credit approvals.
A negative communication is one in which the listener is supposed to respond in a negative way. For example, you would send a negative communication if you wanted someone to call their debt collector or not rent to them. Negative messages are often made up of threats, demands, or accusations.
A request/demand for money or goods is a demand message. If you ask your neighbor to watch your kids so you can go to an important meeting, you're sending a request message. If you tell your boss you need a week off work to go on a trip with your boyfriend or girlfriend, you're sending a demand message. Demand messages usually contain some kind of threat if they don't get what they want. For example, you could threaten to stop helping them if they don't give you more time off work.
Examples of common communication types include: request for information, permission, favor, accommodation, commitment; acceptance of offer, rejection of offer, counteroffer, proposal; complaint, criticism, encouragement, congratulation.
These are only a few examples of how people can communicate with each other.
Communication That Is Negative Negative communication is a type of statement in which the reader receives a disapproving message about a topic that he or she is worried about. These messages frequently cause an unpleasant negative reaction in the reader or receiver of the message, hence extreme caution is used to avoid making them. These statements often convey a hidden message that could be interpreted many different ways by different people.
Examples of negative communication include: criticizing, judging, complaining, blaming, and insulting others. Statements that contain any of these elements are examples of negative communication.
Negative communication can be expressed verbally, in writing, or in some cases, both simultaneously with the use of body language. When someone expresses himself or herself negatively, it has a strong tendency to affect those around them negatively as well. This is because we all have a need for approval from others, and when they receive information from us that tells them they aren't good enough or don't measure up, it hurts their feelings. Then again, not everyone will react to negative communication the same way. Some people may even encourage it if they feel like it can help them achieve something.
In today's world, we see more than ever before where negative communication is being spread via email, text messages, social networking, and other forms of media.
Some individuals want their unpleasant news to be brief and to the point. Others might prefer a more indirect approach... The five major components of the indirect way to giving terrible news are as follows:
In technical writing, however, the "bad news" approach to correspondence refers to facts that your reader may not want to hear. That isn't always good news. As a letter writer, you must persuade your reader not just to read but also to act on your message. Thus, the bad news approach can be useful when trying to convince someone not to do something.
The term was coined by American writer William L. White in his book The Bad News Boys: Some Young People Who Know How To Tell You What They Think About Your Program Or Product Before You Even Start Writing It. These are the young people who have no interest in your product or service; they're only interested in telling you what they think about it. Often, they will even go so far as to tell you how wrong it is for your company to even consider doing business with them.
Yet, despite their negative opinions, these same readers might be willing to listen to some persuasive arguments made against their views. After all, everyone wants to save time and money. If the bad news boys can help them do this, then they might just say yes!
White used several examples of the bad news approach in his book.
Even a basic instructive or encouraging message frequently serves many functions. These are to provide knowledge or good news, to make the reader read, comprehend, and positively evaluate material, and to deemphasize negative components. In addition to these purposes, informative messages can also be used to protect the reputation of the person writing it. If someone else writes something inaccurate, they can use the information within the message to discredit that person by saying that they were told not to say such things by so-and-so.
The message should be clear and direct. It should not contain unnecessary information nor repeat what has already been said. For example, if part of the essay concerns why children should be encouraged to exercise their imagination, then an informative message would not add anything new to the discussion - it would simply tell readers that this is what the author wants them to think about the topic.
Finally, an informative message should be positive. Even if the writer is criticizing something, there should still be a way to explain what is wrong without explicitly saying so.
